Common File Mistakes

What follows is a list of some of the most very common file mistakes made when submitting files to a commercial printer. This is a great list to review before submitting your file. If you already submitted your file and are having a problem with it at the print stage, this is a great place to come to review the info to fix your file before resubmitting.

Missing Fonts
Fonts should be embedded and converted to outlines or paths before your document is sent to print and before you .pdf a document. If you are sending a native application file, be sure the fonts are embedded, and converted prior to sending and make sure the printer you use accepts the type of native file you are trying to send. Some printers for instance do not accept Word or Publisher files. Most printers prefer that native files with fonts are sent as a last resort.
Missing Links
All images and graphics should be embedded in your files, not linked. As a last resort if images cannot be embedded then all linked items must be supplied with your native documents.
No Bleed

Most printers request a minimum of 1/8” bleed on all files that have information running off the page. See an example of a bleed below.

No Specific Application noted
All file names should have the correct file extensions. With so many software design programs available it is impossible to tell what file you might be sending if you have renamed it. If you do not provide a correct file extension it will most likely result in a delay in production time while the printer contacts you to figure out what they have. Examples of extensions are (.pdf, .qxd, .indd, .ai .eps)
RGB files
All files for commercial printing should be saved in the CMYK color space unless you are sending a file with only 1 or 2 colors. These files should specify which PMS colors are used and have those colors embedded in the file. Sending files in any other color space may result in color shifts. Files sent with RGB color issues are usually placed on hold while the printer notifies you. This will of course result in delayed production times.
Wrong Document Size
We recommend that you design files in their appropriate size and upload them as .pdf files.

Publisher Templates are also available to design in Microsoft Publisher.
